WIPA SAFARIS

Company Registered in the United Republic of Tanzania

These Terms and Conditions govern all safari packages, tours, transfers, accommodation bookings, and related travel services organized and sold by WIPA SAFARIS (“WIPA SAFARIS”, “the Company”, “we”, or “us”).

By confirming a booking, the client (“Client”) acknowledges and agrees to be legally bound by these Terms and Conditions.

  1. PRICE BASIS AND SURCHARGES

All quotations are based on costs, exchange rates, park fees, and government taxes applicable at the time the itinerary is issued.

WIPA SAFARIS reserves the right to adjust confirmed prices in the event of substantial increases in:

  • National Park or Conservation Area fees
  • Government taxes or levies
  • Fuel costs
  • Airline surcharges
  • Concession or camping fees
  • Currency exchange fluctuations
  • Regulatory changes imposed by Tanzanian authorities

If any price increase exceeds 10% of the total confirmed package price, the Client may choose to:

  1. Accept the revised price; or
  2. Cancel the booking and receive a full refund of payments made.

The Company reserves the right to correct pricing errors or administrative mistakes prior to booking confirmation.

 

  1. BOOKING AND CONTRACT FORMATION

A booking becomes legally binding only when:

  • The Client confirms the itinerary in writing; the required deposit is received; and WIPA SAFARIS issues written confirmation.

Until written confirmation is issued, quotations remain non-binding.

 

  1. PAYMENT TERMS

3.1 Deposit

A non-refundable deposit of 40% of the total safari cost is required within 10 days of invoice issuance.

3.2 Final Payment

The remaining balance must be paid no later than 60 days prior to arrival.

3.3 Bookings Made Within 60 Days of Arrival

Full payment (100%) is required within 48 hours of invoice issuance.

Failure to meet payment deadlines entitles WIPA SAFARIS to cancel the booking and apply cancellation charges.

The lead passenger is responsible for all payments on behalf of the group and confirms acceptance of these Terms on behalf of all participants.

 

  1. CANCELLATION POLICY

4.1 Cancellation by the Client

All cancellations must be submitted in writing.

The following cancellation fees apply:

  • More than 60 days before arrival: Loss of deposit
  • 31–60 days before arrival: 70% of total safari cost
  • 0–30 days before arrival or no-show: 100% of total safari cost

No refunds will be given for unused services once travel commences.

4.2 Cancellation by WIPA SAFARIS

The Company reserves the right to cancel a booking if:

  • The Client fails to comply with payment obligations
  • Minimum numbers are not reached for group departures
  • Safety or security concerns arise
  • The Client breaches local laws or behavioral standards

In the event of cancellation due to insufficient group numbers, all payments received will be refunded without additional compensation.

 

  1. AMENDMENTS

5.1 Amendments Requested by the Client

Changes requested more than 60 days before arrival may be permitted subject to availability and administrative fees.

Requests made within 60 days of arrival will be treated as cancellation and rebooking.

Replacement of a traveler is permitted up to 7 days prior to arrival, subject to written notice and additional costs.

5.2 Amendments by WIPA SAFARIS

WIPA SAFARIS reserves the right to modify itineraries, accommodations, routes, or activities when necessary, due to:

  • Weather conditions
  • Road conditions
  • Security considerations
  • Supplier availability

Reasonable alternative arrangements of similar category and quality will be provided.

 

  1. GROUP SAFARIS

Group departures require a minimum number of participants as specified in the offer.

If the minimum number is not reached, WIPA SAFARIS may cancel the departure up to 21 days before arrival and issue a full refund of payments made.

No additional compensation shall be payable.

 

  1. TRAVEL INSURANCE (MANDATORY)

All Clients must obtain comprehensive travel insurance covering:

  • Medical expenses
  • Emergency evacuation
  • Repatriation
  • Trip cancellation
  • Personal liability

WIPA SAFARIS shall not be liable for any costs incurred due to insufficient insurance coverage.

 

  1. TRAVEL DOCUMENTS AND ENTRY REQUIREMENTS

It is the sole responsibility of the Client to ensure possession of:

  • A valid passport
  • Required visas
  • Health certificates and vaccinations
  • Compliance with immigration regulations

The Company accepts no responsibility for denied entry, visa refusal, or related expenses.

 

  1. TRANSPORT SERVICES

Air, land, and marine transportation services are subject to the terms and conditions of the respective carriers.

WIPA SAFARIS acts as tour organizer and coordinator and shall not be liable for:

  • Flight delays or cancellations
  • Lost or delayed baggage
  • Operational decisions made by airlines or transport providers

Domestic air carriers in Tanzania operate under regulation of the Tanzania Civil Aviation Authority (TCAA).

 

  1. INHERENT RISKS

The Client acknowledges that participation in safari activities involves inherent risks, including but not limited to:

  • Wildlife encounters
  • Tropical diseases
  • Remote locations
  • Limited medical facilities
  • Weather extremes

The Client voluntarily accepts such risks and agrees to follow all instructions provided by guides and staff.

 

  1. LIMITATION OF LIABILITY

WIPA SAFARIS total liability, under any circumstance, shall not exceed the total amount paid for the safari.

The Company shall not be liable for:

  • Acts or omissions of third-party service providers
  • Force majeure events
  • Client negligence
  • Indirect or consequential losses

Nothing in these Terms excludes liability for death or personal injury caused by proven gross negligence under Tanzanian law.

 

  1. FORCE MAJEURE

Force majeure includes events beyond reasonable control, including but not limited to:

  • Natural disasters
  • Political unrest
  • Pandemics
  • Government restrictions
  • Park closures

In such cases, WIPA SAFARIS may offer rescheduling when feasible. Additional compensation shall not be payable.

 

  1. COMPLAINTS PROCEDURE

Any complaint must be reported immediately to the guide or local representative.

Formal written complaints must be submitted within 21 days of return from travel.

Failure to follow this procedure may affect the Company’s ability to investigate and resolve claims.

 

  1. GOVERNING LAW AND JURISDICTION

These Terms and Conditions are governed exclusively by the laws of the United Republic of Tanzania.

Any disputes shall be subject to the jurisdiction of the competent courts of Tanzania.

 

  1. ACCEPTANCE

Confirmation of booking constitutes acceptance of these Terms and Conditions by the Client and all
